This Privacy Policy describes how acade.ai ("we", "us") collects, uses, shares, and protects information when you use our website, applications, and related services (collectively, the "Service"). By using the Service, you agree to this Policy.

1. Information We Collect

Account information

When you create an account we collect identifiers you provide such as your name, email address, password (hashed), and profile photo, as well as authentication data from third-party login providers (e.g., Google) if you choose to use them.

Content and conversations

We process prompts you submit, documents you upload, conversation history with the AI assistant, references and citations you save, and any other content you create or import into the Service ("Your Content").

Usage and device information

We automatically collect technical information about your interactions with the Service, including IP address, browser type, device and operating system, referring URLs, pages viewed, and actions taken (e.g., features used, requests made, errors encountered).

Cookies and analytics

We use cookies and similar technologies (including from analytics providers such as PostHog and error-tracking providers such as Sentry) to keep you signed in, remember preferences, secure the Service, and understand how the Service is used. You can control cookies through your browser settings, though some features may not work without them.

Payment information

If you purchase a paid plan, payments are processed by third-party payment processors. We receive transaction metadata (such as plan, amount, and status) but do not store your full payment card details on our servers.

2. How We Use Information

  • Provide, maintain, and improve the Service, including generating AI responses to your prompts.
  • Personalize your experience (e.g., remembering recent conversations and preferences).
  • Communicate with you about your account, security alerts, product updates, and support requests.
  • Monitor and protect the Service against fraud, abuse, and security incidents.
  • Analyze aggregated, de-identified usage to understand product performance and prioritize improvements.
  • Comply with legal obligations and enforce our Terms.

3. AI Processing

To generate responses, we send your prompts and relevant conversation context to third-party large language model (LLM) providers (for example, Anthropic, OpenAI, and similar). These providers process your inputs solely to return a response and are contractually prohibited from using your inputs to train their models, subject to their own privacy and security commitments.

We do not use Your Content to train foundation models without your explicit consent.

4. How We Share Information

We share information only as described below:

  • Service providers. Vendors that help us run the Service — including cloud infrastructure (e.g., AWS), LLM providers, analytics, error tracking, email, and payment processors — under written confidentiality and data-protection terms.
  • Legal compliance. If required by law, regulation, or valid legal process, or to protect the rights, property, or safety of acade.ai, our users, or the public.
  • Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections.
  • With your direction. When you choose to share content, integrate with a third-party service, or otherwise direct us to.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

5. Data Security

We use industry-standard administrative, technical, and physical safeguards to protect your information, including encryption in transit (TLS), encryption at rest for sensitive stores, access controls, and audit logging. No method of transmission or storage is 100% secure, however, and we cannot guarantee absolute security.

6. Data Retention

We retain account information for as long as your account is active. Conversation history and uploaded content are retained until you delete them or close your account, except where we are required to keep records for legal, audit, or security purposes. After account closure we delete or de-identify your data within a reasonable period, except for residual backups that are deleted on their normal rotation.

7. Your Rights

Subject to applicable law, you may have rights to access, correct, export, restrict, or delete your personal information, and to object to certain processing. You can exercise most of these rights from within your account settings or by contacting us at privacy@acade.ai. You also have the right to lodge a complaint with your local data-protection authority.

8. Children's Privacy

The Service is not directed to children under 13 (or the age of digital consent in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us personal information, please contact us and we will delete it.

9. International Data Transfers

We operate globally and may transfer, store, and process your information in countries other than your own, including the United States. Where required by law, we rely on appropriate safeguards such as standard contractual clauses to protect cross-border transfers.

10. Changes to This Policy

We may update this Policy from time to time. We will update the "Last updated" date at the top of this page and, for material changes, provide additional notice (such as via email or an in-product banner). Continued use of the Service after the effective date constitutes acceptance of the revised Policy.
